How to use an Inventory Report as a Template to upload existing Inventory

I wrote this “How-To” in a thread back in Jan 2015 … Rewritten to accommodate the new forums. Hope it helps.

First read over this help page : Using Reports to Update Inventory … (linked text)

As a Pro Merchant Subscriber, you can modify inventory reports to update your listings. The data fields in many of Amazon’s inventory reports are the same as the fields used in Inventory Loader files or in Price & Quantity files. After adjusting column headers and deleting unneeded fields, you can make changes to your listing data and upload your new file.

The basics :

  1. Request a Listings Report and download
    • Open Listings Report if you only want to do those that have a quantity

    • Active Listings Report if also those with a 0 quantity

  1. Open Report …

The report you receive will be in a .txt (tab-delimited) format. If you open the report in Microsoft Excel, the leading zeroes from the product ID column will be dropped by Excel. You can prevent this from happening by using the import wizard and forcing the product-id column to be imported as text. Please see Microsoft Excel help for more information on this feature

  1. Adjust the headers.

    A. Rename the “seller-sku” column header to “sku.” (Be careful as these are case sensitive and must be exact or you will get an error upon upload)

    B. Delete at least the following columns (BUT I would delete all columns but “sku” and “item-note” to prevent changing anything else) : - listing-id - open-date - pending-quantity

  1. Note : Choose only 1 listing to test on ! If you do something wrong you don’t want to have to worry about fixing a whole bunch of listings.

  2. Save file as a tab delimited text file

  3. Upload

    A. Go to Seller Central > Inventory tab > Add Products via Upload
    B. Go to section ‘Upload inventory files’ : Choose Inventory Loader file
    C. New section appears : Click the Browse button and locate file to upload
    D. Click the ‘Upload now’ button

  1. Wait a little bit (about 5 minutes should do it) and then check the Inventory file upload status by :

    A. Click the ‘Refresh’ button
    B. Click on ‘View Processing Report’ which should show the record as processed …

You should now be able to go into the listing (Manage Inventory and Edit Listing) and see the changes in the ‘Condition Note’ field text box.

Finally … the adaption here for you is that after a test you would upload with a “Purge/Replace”
